Job Title: Assistant Property Manager – San Diego (Non-Exempt)

ORGANIZATIONAL REPORTING

Reports to: Property Manager

 

FUNCTIONAL RESPONSIBILITIES

·         Oversees general maintenance of the property via vendor management including landscaping, janitorial, maintenance, pest control, HVAC, lighting, utilities, roofs, parking lot, etc. Implements typical problem resolutions or reports to Property Manager any unusual issues to develop and implement all applicable solutions.

·         In conjunction with Property Manager and/or Donahue Schriber Construction, assists with the implementation of capital improvement projects.  Examples of such improvements include, but are not limited to the following: major roof or parking lot repairs; landscape renovations; ADA; asbestos, environmental issues, and other major common area improvements.

·         Oversees fire/life safety implementation on the property, including fire alarm systems.

·         Codes invoices for Property Manager approval. Prepares any expense re-classes.

·         Reviews expense G/L a minimum of twice a year.  Re-classes expenses coded incorrectly.

·         Conducts monthly rent analysis and provides variance comments

·         Coordinates all applicable annual asbestos notifications for our properties per Donahue Schriber requirements.

·         Oversees vendor bid worksheet ensuring compliance in obtaining all required bids per Donahue Schriber requirements for every applicable property.

·         Oversees compliance of tenants’ vendors’ insurance certificates and coordinates with security, tenants and vendors for roof and common area access.

·         Gathers vendor bids and rate increase info for annual budgets and gathers bids and prepares comparison spreadsheet for current year Capital projects.

·         Oversees and ensures compliance of all Donahue Schriber requirements for vendor related contracts and file maintenance.

·         Oversees, collects, and tracks monthly tenant sales reports for assigned properties.

·         Oversees and ensures compliance of all Donahue Schriber requirements for vendor and tenant insurance certificates.

·         Coordinates with tenants, security, valet, etc. for tenant promotional events.  Provides Operations Analyst with all relevant details for PLA creation.  Obtains pre-approval of Property Manager for any tenant common area event prior to approving the event.

·         Manages the monument signs, diectional signs and on-site directory boards.

·         Completes regular property inspections.

·         Manages San Diego water restrictions, oversees SWPPP BMP practices, follows up with City SWPPP inspectors, manages tenant notifications of non-compliance and follows up with tenants and vendors to ensure compliance.

·         Responsible for and manages keys for all assigned properties

 

·         Orders and coordinates installation of coming soon signs, works with leasing staff to ensure vacancies have proper leasing signage displayed.

·         Coordinates posting and filing with the County, all Notices of Non-Responsibility.

·         In conjunction with Property Manager and Donahue Schriber Construction, turns over/takes back space, assists with store opening and store closing procedures and follow-up on punch-list items.

·         In conjunction with Property Manager, oversees the collection of rent and billings for tenants as assigned properties.

·         Prepares special billing for bill-back items such as HVAC repairs, interior suite repairs, etc. and follow-up on tenant’s payment of the charges.

·         Assists Property Manager and Construction with coordinating of Landlord’s work and/or Tenant Improvement work.

·         Second contact for all fire alarm, burglar alarm and after-hour calls from the answering service and weekend emergency call list.

·         Responds to on-site emergencies, after hours and on weekends if needed.

·         Assists Property Manager with annual property budgets, quarterly reforecasts, and monthly expense variance notes.  Special focus on property expenses.

·         Facilitates positive relationships with all merchants and their employees.

·         Assists in special projects and other duties as assigned.

·         Control of budgeted expenses within a specific percentage.

·         Condition of properties based on regular physical inspections.

·         Completion of assignments within established time frames.

·         Responds to requests from supervisor, management and other work groups and/or offices in a timely manner.  Offers assistance to other employees.

·         Represents Donahue Schriber during all interactions with tenants, vendors and the public in a positive manner. 

·         Demonstrates great written, verbal and in-person customer service especially when responding to tenant, customer and vendor questions, comments and complaints, etc. 

·         Exercises sound judgment in determining a course of action.

·         Knows when to refer problems/issues to supervisor.

·         Performs work accurately and thoroughly, and results meet intended purpose.

·         Shows initiative and commitment to self-improvement.

·         Takes effective action independently.  Requires minimal guidance and supervision.

·         Able to prioritize tasks and complete high priority tasks first.  Keeps supervisor apprised of the status of projects

SUGGESTED QUALIFICATIONS/EXPERIENCE

 

  • Four-year college degree.

  • Three years of property management experience, preferably for retail properties.

  • Possess a high degree of organization.  Able to prioritize.

  • Ability to handle multiple tasks and work with several people at once.

  • Team player who interacts with all levels of staff and business associates.

  • Exceptional organizational skills, initiative and follow through.

  • Ability to work with minimum supervision.

  • Strong verbal and written communication skills.

 

PHYSICAL ENVIRONMENT/WORKING CONDITIONS

 

  • Sit for prolonged periods.

  • Bend, squat and kneel as required.

  • View a computer screen for prolonged periods.

  • Use computer keyboard, mouse and related equipment.

  • Inspect properties as needed.

  • Lift up to 40 lbs.
